GYO Board Descriptions
CHAIRPERSON - Vacant
The Chairperson manages the day-to-day responsibilities of the organization, including managing board members, program coordinators, and volunteers. Working with the board, the Chairperson develops policies that align with the association’s mission and ensures program coordinators work toward fulfilling the association’s purpose. Additional duties include:
Serving as spokesperson for the organization
Preparing agendas for and running monthly board meetings
Working with the board to develop and recruit future board members
Assessing program successes against the organization’s mission and purpose
Ensuring volunteer coaches receive background checks and sufficient training
Working with the Park Maintenance Director to ensure maintenance, care, security, and access to fields
SECRETARY
The Secretary attends all board meetings and is responsible for maintaining complete and accurate meeting minutes. Additional duties of the Secretary include ensuring board members abide by the bylaws, track terms of board members, sending thank you cards/letters for donations, and maintaining the organization’s records.
TREASURER
The Treasurer manages and tracks the organization's financial condition and must have an understanding of financial accounting for nonprofit organizations. Treasurer duties include day-to-day bookkeeping, maintaining financial reports, preparing a monthly report for the board meeting, maintaining insurance and ensuring the organization is in compliance with local and federal governing agencies.
COMMUNICATIONS COORDINATOR
The Communications Director is responsible for developing and executing marketing and communication strategies, and updating/maintaining the organization’s website and social media platforms. The Communications Director works closely with the executive board and program coordinators to ensure group and bulk messaging is appropriate and timely to GYO families and the community. This role will manage and oversee volunteer needs and sign-ups for all volunteer opportunities and communicate with each program coordinator specific to the event.
DIRECTOR AT LARGE - Vacant
The Director at Large’s primary responsibility is to assist with the organization’s safety procedures, fundraising efforts, and sponsorships. The Director at Large works closely with the executive board and program coordinators to ensure jersey and equipment ordering is appropriate. The Director at Large will work closely with the Treasurer to ensure financial stability and cash flow for the organization.
DIRECTOR OF SPORTS COORDINATION (BASKETBALL, SOFTBALL, BASEBALL/T-BALL, SOCCER)
The Director of Sports Coordination is responsible for meeting the needs of our community relating to a specific sport. This is to include assessing the need for equipment, organizing a place for practices/games and coordinating schedules with surrounding towns/leagues. This director is also responsible for ensuring coaches are given clear expectations, pass a background check and understand the mission of the organization. Following a season, this director will also coordinate an awards ceremony for the sport to wrap up the season.
PARK MAINTENANCE DIRECTOR
The Park Maintenance Director is responsible for the coordination of volunteer efforts as it relates to Spring Cleanup, maintaining a mowing schedule, preparation of fields for games (ie. lining, goal positioning, dragging infields), Winter Shutdown and annual maintenance of equipment. This Director will also assist in overseeing park improvements and will give valuable input regarding the park needs.
CONCESSIONS COORDINATOR
The Concessions coordinator is responsible for ensuring that the snack shack is adequately stocked and staffed with volunteers during GYO events. This Director is also responsible for coordinating efforts as it relates to fundraising events throughout the year.
